Need help : Integrated change control.

I am really confused with integrated change control process. In sample questions, I usually pick wrong answers. Some places I find, PM needs to do impact assessment first, some place he logs it in change control and some places there is no need for change request.

For example in question below it says need to talk to Sponsor.

An asphalt company is demanding a code change to a software module your team is creating for them to generate Safety Data Sheets. The change will only add one week to the critical path. What is your next step, as the project manager?
Correct Response Reason
Consult with the Sponsor Your first step should always be to communicate any requested changes with the sponsor to asses the next steps.

Erica is working for a kitchen tools manufacturing project, which is intended to make modern cooking ovens. This project is very important for the company as well as for Erica's career. Although, the project scope statement was defined very well and requirements were gathered from stakeholders in the planning phase, many design change requests have come in from customers during project execution. Which of the following tasks Erica must perform to avoid scope creep caused by uncontrollable changes?
Correct Response Reason
Perform scope control and process all changes through the integrated change control process All scope changes must be controlled in a project using the control scope process. But, the scope control must also ensure that all changes requested by customers go through the perform integrated change control process. This way, scope creep can be avoided and project changes can be managed. Hence, Erica must perform scope control and process all changes through the integrated change control process. 32. Joe vigil has been managing a project for Exton Oil Corporation. This project involves redesigning gas pumping stations across the state. The redesigning involves new gas pumps, security cameras, convenience stores, and the use of environmentally friendly materials in the construction. While the redesigning work is underway, Joe's design engineer suggests a secondary alarm system for gas pumps to alert the attendant incase of a spillage. Although this suggestion is not in project requirements, Joe is impressed with the engineer's recommendation. What should be the next step for Joe in regards to the engineer's suggestion?
Correct Response Reason
Initiate the formal change control process to find the impact of his recommendation Change requests should always be recorded in written form and entered into the change management system to find the impact of the change on the scope, budget, schedule and quality. So, Joe must initiate the formal change control process. After approval from change control board, Joe can allocate resources and funds to the change. Hence, Joe must initiate the change first. So why we go to scope control some places and go to Integrated change control afterwards. Why some place we just jump on directly  change control process. Some answers I have seen we do impact analysis first.

Thank you very much for prompt response!!!!

I am not sure which Screening test you are doing but below is the sequence ..from Rajesh Nair's note

Perform Inetegrated Change Control
                            a. evaluate the impact - considering all the project constraints
                            b. create options - are created based on crashing, fast tracking, reestimating..etc
                            c. get change request approved internally
                            d. get customer buy-in (if required)

Thank you very much for your quick response. I would really appreciate if you/someone can explain me with examples. These questions are from PMPerfect exams.

I know the sequence below:

    a. evaluate the impact - considering all the project constraints
    b. create options - are created based on crashing, fast tracking, reestimating..etc
    c. get change request approved internally
    d. get customer buy-in (if required)

but I have few questions:

Impact evaluation can also be performed after logging change request in Integrated Change Control Board (ICCB). For example: If vendor want a change today and ICCB meeting is after 10 days, I guess its better idea to log CR to ICCB and do the Impact analysis.

Some questions, I have seen when changes coming from within project team expert member (example: In a gas station while installing fuelling pumps, senior engineer suggested to install a safety device which stops gas vending if there is any spillage), PM directly puts this in ICCB.

Another question: When we involve sponsor in this ?

Please explain.

Thanks and Merry Christmas!!!

Hi

While the sequence maybe what is given , the correct answer will usually depend on what is the best choice.

I dont agree that informing the sponsor first is the correct thing to do as mentioned in one of the answers and justification.

However if your project is near closing and if you know that any change may impact project commitments then instead of evaluating the impact you may directly get help of sponsor to not take any further changes

Regards

 Thanks admin!!
