Rita question - What is discussed in every team meeting?

Which of the following MUST be an agenda item at all team meetings?

A. Discussion of project risks

B. Status of current activities

C. Identification of new activities

D. Review of project problems

My answer and correct answer are below:

My answer: B

Correct answer: A

The explanation is that risks are so important that it must be discussed in every meeting. What about status of current activities? How can they even discuss the risks without knowing where they are in the project? It feels the answer is A simply because it is in Risk Management chapter.

The real practical world is far far away than the PMBOK world (theorotical). I learnt it the hard way that PMBOK wants risks to be discussed in every team meeting, but I as a Project Manager would first go round the table to quickly go over the statuses and then just pop in a question like "Hey, do you guys see any risk in using this new CloudComputing technology for calculating variation margin on collaterals to reduce the counterparty credit risk".

Suck it up and move on...

Haha that is the right attitude indeed.. suck it up and move on.

Thanks for the comforting reply. I've been mostly treating the PMP as concepts + some logic or common sense. But it seems I need to readjust the strategy and live in the PMBOK world till the exam.

On a large project there are other, more productive, ways to gather information. For instance work status (using project reports), project problems (using issue logs), and identification of new activities (WBS, Change Control Meetings?).

Team meetings are a time consuming process as they require the (physical or virtual) precense of team members. The PM must ensure that this time is used effectively. Risk analysis requires the input of various stakeholders and in a large project you can't go around discussing project risks with each individual. Therefore, A is a good option here.

I agree, we usually tend to take status from the team. I think we are still trying to find out from that status of an individual, that is there any risk that is getting materialized or a new risk is getting surfaced.

Team meeting is to know: what is working and what is not.
