Kick off meetings

Kick off meetings are part of initiating or planning process area?


As per my knowledge they are the part of initiating process.,but RMC states that they belong to planning.


Can any one please share their views on this please?

Can we have the kick-off meeting only with the PC and few identified StakeHolders (SHs)? Dont we need any plan at all, like PMP and PSS et al? Think about it.

PMBOK does not have anything mentioned about Kick off meetings. Kick off meeting introduces the members of the project team and the client and provides the opportunity to discuss the role of each team member. It should ideally happen in planning process group because you have project objective and stakeholders list ready in this phase so that such meeting can be initiated.

As per PMI Kick Off Meeting starts after sponsor issues the Project Charter. Here is the Description:

The project has officially begun. The charter has been published and distributed, the project manager has been appointed, and you're ready for the next step—the project kickoff meeting.


 


The purpose of the kickoff meeting is to accomplish verbally what you accomplished in writing, that is, communicate the objective and purpose of the project, gain support and the commitment of resources for the project, and explain the roles and responsibilities of the key stakeholders.


 



When you announce the meeting time and place, publish an agenda with the announcement. This will be the rule for all project meetings from here on out. It's always good practice to publish an agenda. Everyone knows what to expect from the meeting, and if you're expecting meeting attendees to come prepared with some type of information, note that in the agenda.

Make certain when the meeting is called to order that everyone has a copy of the project charter so they can follow along when you go over each section.


 



 

So are you saying RD that kick-off is a part of initiation and not planning.

Since it happens just after PC signed off by sponser and there is no project plan yet.


So It is part of initiation process group.

When you say "As per PMI..." what is the reference you are talking about?

Ahhh, so it’s Mr Kim and not PMI. After reading your response, I started poking my hairs, how did I never know till date about kickoff meeting that PMI has already said.


If you happen to refer contents from PMBOK, then only you should say “As per PMI”. Mr Kim can have his own justification, I do not have any objection to it.


Whenever you talk, see and are into the PMP exam, always see from the context of a project manager (PM) when not explicitly highlighted.


Think real life, you are a PM and you want to initiate a first meeting (kickoff) so that you formally introduce your team and important stakeholders and they get to know each other before actually the work begins. Can you do this before stakeholders have been identified? In other words, you are going to organize a meeting for people whom you don’t know!


From the context of a PM, kickoff meeting should happen in Planning process group.


However, from the context of others like Sponsor, kickoff meeting can happen in initiation phase. E.g. a sponsor can organize kickoff to introduce stakeholders involved in making charter.


This is again, my thought, you are free to accept the one you find more accurate.
