Question - On Change Request

Hi, I would like to have your comment on this question please

 

 

Your Customer calls you on the phone and informs you of a minor change to a requirement on the project. What is the first thing that should be done  ?

A. Analyze the request and it's consequences to the project

B. Instruct your enginieer to implement this minor Change

C. Ask the customer to provide a formal change request

D. Note it in the weekly status Report.

 

 

Ask the customer to provide a formal change request even if it is minor. all change request should be formally initiated.

You don't analyse (A) the request before that (C) ?

Tricky again... It is rather logical if you immediately ask him to send a written request as far as you ar already on the call line. When you hook off - you can start analyzing.

C. Ask the customer to provide a formal change request

Till we do not have a change request. PM will not like to invest the time in analyzing the request. It may not come.

Here is another one from Pmstudy that doesnt tell the same thing about the way to do it.

Answer is 1,

but if you compage that question/answer to the other one here..  the other one tell you to open a formal change request before analysing.

@philzs : Here are my viewpoints

1 - talk with team members to understand implications of the change : Whenever there is a change in the project (either communicated by sponsor/customer/team member/anyone) the 1st step is look for the impact on the project becoz of this change. So this is the correct answer.

2. - communicate the change to the management to get their input : PM hardly communicates with management about the changes on the project. Normally PM analyses the impact of change and can discuss with the project team members but mostly it's PM's responsibility to prevent any changes to the project.

3 - open up a change control : This is incorrect answer. The option may be to create a change request not open up a change control

4 - implement the change : Before implementing the changes, the change request has to go through CCB and only approved changes are implemented. This is the last step. The question is asking the 1st step so this is ruled out.

This is not exacly what I ask here...

Look at the two question, they are REALLY similar, but answer are totally different

Can it not be agreed by PM and customer that " over the phone" is a formal communication ?  

If not, what exactly is a formal change request ?   Does PMBOK says it always has to be formal written communication ? 

E.g of formal written communication is contract and agreements. 

Can you point the section in PMBOK which you are refering to ?

@Sbipin81: PMBOK states that the communication regarding change request can be initiated verbally but it always should be in the form of formal written. (page 96 paragraph 2)

The Best Answer is A.  The FIRST thing the PM must do is evaluate the change and its impact on the project.  Again this is the FIRST thing a PM should do.  Once he/She evaluates then a change request whether formal or informal, it must be sent to the change control board under the Perform Integratate Change Management Process where it will be either accepted or rejected.
